Job Summary:

We are seeking a detail-oriented and dependable Offshore Back-Office Support Executive to assist our US operations during US business hours. The ideal candidate will have a proven background in billing, timesheet management, payroll coordination, benefits administration, immigration support, and employee relations. This role requires excellent communication skills, a proactive approach, and the ability to work with confidentiality and accuracy.

  • Minimum 3 years in back-office, payroll, HR operations, or administrative support.
  • Strong organizational skills with attention to detail.
  • Proficient in MS Office Suite (Excel, Word, Outlook).
  • Familiarity with payroll systems, HRIS, or billing platforms is an advantage.
  • Excellent written and verbal communication skills in English.

Job Responsibilities:

  • Billing & Timesheet Management
    • Track and process employee timesheets accurately and on schedule.
    • Coordinate with US teams to resolve discrepancies in time reporting.
    • Support client billing processes by compiling timesheet data and preparing invoices.
  • Payroll & Benefits Administration
    • Assist in preparing payroll inputs for the US payroll team.
    • Ensure benefits enrollment data is updated and accurate.
    • Handle employee queries related to payroll deductions, benefits coverage, and leave balances.
  • Immigration Coordination
    • Support immigration documentation processes (e.g., visa renewals, work permits, compliance tracking).
    • Coordinate between employees, HR, and immigration attorneys to ensure timely submissions.
  • Employee Partnering & HR Support
    • Act as a first point of contact for offshore and US employees for operational queries.
    • Maintain employee records and ensure compliance with company policies.
    • Assist with onboarding documentation and periodic HR communications.

  • Ability to work during US business hours.
  • Maintain high levels of confidentiality and discretion.
  • Strong problem-solving and coordination skills.

Education & Certifications:

  • Bachelor’s degree in Business Administration, HR, Finance, or related field.
  • Immediate joiners or candidates with notice period up to 45 days/less are highly preferred
