Collins Aerospace Aerostructures is looking for a Staff Coordinator, Administrative Support to provide a variety of administrative tasks in support of Riverside site leadership

You may prepare budgeting, project scheduling, and statistical reports as required. You may perform data entry and other normal office functions such as setting up and maintaining files, arranging meetings and maintaining site org charts. You will review drafts and finished documents and answer questions relating to office operations and established policies and procedures. You will gather, compile and report on information relevant to supervisors assignment. You may provide executive assistant services as a direct assistant to senior site leaders. This includes working independently on special assignments, managing the Executives schedule, processing and handling of confidential documents and other administrative duties. You may research and determine types of technical literature searches and sources of information required to satisfy the operational information needs of onsite staff.

In addition to those responsibilities, this position will be the administrator for all EH&S and Quality training for Riverside. This includes control, ordering and employee training related to Stamps & Certs. You will also act as the primary focal for updating this Stamp & Cert information into our Manufacturing Execution System, Solumina to ensure compliance and material flow in production. You will oversee the execution of our Quarterly Training program, which includes maintaining training records per internal policies and other regulatory requirements, booking conference rooms, scheduling training classes, & working with internal trainers and external vendors. You will ensure training materials are up-to-date and available to support training.

On a weekly basis, you will manage our plant administrative management tools critical to our leader standard work. These tools include our employee rosters (lead sheets), bargaining unit overtime records, EH&S & Quality Stamps & Certs, and Multi-Skill matrices for all employees within the site. On an annual basis you will assist site leadership in its site-wide critical skills gap assessment process and keep track of all action plans and to-do lists to close skills gaps.

You will also manage site-wide emergency notification system, working with EH&S and HR on communications. You may assist site leadership with preparing and maintaining its Business Continuity Plan and assist site leadership with administration of Job Hazard Analysis and other EH&S/Facilities record keeping.

Primary Responsibilities

  • Maintain calendar, schedule meetings & book conference rooms for SLT
  • Maintain weekly Lead Sheets & OT rosters by department
  • Administer and control Stamps & Certs program for Riverside
  • Administer Quarterly Training program and maintain training records
  • Perform annual critical skills gap assessment with SLT
  • Create & maintain Whos Where tracker for site
  • Create & maintain administration system for site visits

1. Create a site-wide calendar of visits

2. Coordinate visitor access (incl. foreign visitor access, military, etc.)

3. Prepare virtual visitor welcome packages (maps, hotel & flight info, etc.)

  • Assist SLT with Quarterly All-up, Learning Together & other presentations

1. Help presenter(s) with presentation template/materials

2. Book room, send invites, manage RSVPs

3. Document attendance and archive presentations

  • Assist SLT with site-wide team building initiatives

1. Help schedule and serve annual Christmas Lunch (all shifts)

2. Help SLT create and run an Employee Action Team

3. Create & track to-do items from Pulse Surveys, Listening Sessions, etc.

4. Help plan & execute employee engagement events

  • Assist SLT with EH&S administration activities including:

1. Administer Emergency Notification System

2. Assist with maintenance of Business Continuity Plan

  • Participate in annual Policy Deployment & Macro Planning events
  • Assist GM with slide decks for VP Ops PD/MP
  • May assist SLT with internal audits for NADCAP, EH&S A/R, BSI, etc.

Basic Qualifications

  • AA/AS degree (or other 2-year post high school training) with a minimum of 10 years of relevant experience.
  • OR in the absence of a HS diploma, GED or AA/AS degree, 12 years of relevant experience is required
  • OR A Bachelors degree in the appropriate discipline and 5 years of relevant experience
  • OR an Advanced degree in the appropriate discipline and 3 years of relevant experience. Certification may be required for technical support roles.
  • Must be fully proficient with Microsoft office suite (PowerPoint, Excel, Outlook calendar)
